    • Provides support in various day-to-day operations of the US-HR department and Chicago Federal Reserve office including assisting in the coordination of various office functions, employee relations and daily processing of personnel changes. Provides support to the U.S. HR, Recruiting, Benefits, Payroll and HRIS teams
    • Answer phone calls, distribute mail to all members of the HR/Benefits/Payroll departments
    • Responsible for all departmental filing including all U.S. employee and attorney information. Maintain administrative files as well as files containing frequently-used forms and documents
    • Conducts annual audit of all files in accordance with the Firm’s retention policy and coordinate annual process of shipping documents to off-site storage
    • Create all new staff and attorney files, assemblage of information packets for various HR/Benefits/Payroll initiatives
    • Process, in PeopleSoft, all staff employee data changes for offices outside of Chicago. Handle all administrative aspects of same. Back up for Chicago office data changes
    • Back up for conducting H.R. portion of New Hire Orientation as needed
    • Assist in the coordination and execution of all Chicago employee events with the Chicago DOA, HR Manager and HR Coordinator
    • Assist in the coordination of any Chicago employee retirement luncheons
    • Serves as support to all departments within HR
    • Assist HR Generalist/Recruiter and HR Recruiting Assistant with various recruiting responsibilities, including but not limited to: process and onboarding new hires, initial stages of the recruiting life cycle including scheduling phone and in-person interviews. Provide backup coverage for HR Recruiting Assistant as needed
    • Assist in the coordination of the annual United Way Campaign for Chicago – Federal Reserve and other U.S. office campaigns as needed
    • Assist in the coordination of the Chicago Wellness Fair program
    • Maintenance of the Chicago Job Description filesite folder
    • Assist with the maintenance of Chicago Salary Market data
    • Additional responsibilities include updating various logs and record keeping and various other employee inquiries


    • High School diploma or GED required, Bachelor's a plus
    • 2 or more years’ previous administrative experience preferred; general Human Resources experience preferred
    • Must be computer literate; proficient in MS Office Suite and Windows required
    • Knowledge of HRIS database packages preferred, PeopleSoft experience a plus
    • Must possess a high degree of professionalism and confidentiality as well as a team-player attitude
    • Should be extremely detail-oriented and organized, must take initiative and able to work on multiple tasks simultaneously
    • Excellent attention to detail, developed organizational and follow up skills
    • Strong written and oral communication skills required
    • Strong customer service skills required
    • Well developed analytical and problem solving skills
    • Ability to work well under pressure
    • Demonstrated self-starter with the desire to show ownership and commitment
    • Able to lift boxes/files up to 20 lbs.
